Registration Policies & Information
The Town of Ajax – Recreation & Culture team, wants to ensure a successful program experience for all participants. Please review our Participant Criteria for which all participants must adhere. The Participant Criteria includes, but is not limited to, the following:
- An adult emergency contact(s) name and number will be provided, and the individual will be readily available to pick up the participant within 1 hour.
- I/participant will adhere to the Public Conduct Policy and Code of Conduct – Recreation Facilities Policy (available upon request).
- I acknowledge that the use of derogatory, aggressive, threatening and/or discriminatory language or behaviour, by participants or parents/guardians, will not be tolerated within the program.
- I confirm that the participant, with or without accommodations:
- is medically stable and has no recurring history of breathing/swallowing difficulties, choking or life threatening seizures,
- will be able to follow direction and remain within the confines of the program area, and
- will be able to participate in the program without causing harm to themselves, others, or property.
- The Town is committed to its obligations under the Human Rights Code and the Accessibility for Ontarians with Disabilities Act. If medical, personal, or other enhanced supports or accommodations are required for the participant to meet the participant criteria outlined above or otherwise, due to a disability or other Human Rights Code-protected ground, I will contact the Town of Ajax at inclusionservices@ajax.ca to request enhanced supports or accommodations at the time of registration, so that a support plan can be developed.
- Accommodations will be considered on a case-by-case basis. I acknowledge that I have a duty to cooperate in the accommodation process by providing sufficient information to enable the Town to assess and implement reasonable accommodations.
- I will work with the Town of Ajax to provide suggestions for strategies to best support myself and/or the participant.
Failure to meet any of the above participant criteria may result in removal from Town programs.
Registration Policies
Program Changes – The Town of Ajax reserves the right to cancel, postpone, or combine classes, to limit or increase registration as well as change the time, location or instructor if required.
Registrations – Registration is best completed online to improve the chance of being accommodated in your program of choice. Walk-in registration forms are also accepted. Please note, submission of a registration form does not guarantee acceptance in the program.
Waitlist – When a program is full, a participant may be placed on a waitlist. We recommend that you join a waitlist for programs that have already filled. It is suggested that you waitlist for a maximum of two programs. Placement on a waitlist does not guarantee registration in the program. If a space becomes available, notification will be sent via email using the contact information on the participant’s account. Participants will be provided a limited period of time to accept the available space and complete registration: 24 hours for summer programs and 48 hours for fall, winter and spring programs, unless otherwise specified. Failure to respond within the specified timeframe will result in removal from the waitlist and the available space may be offered to the next participant. It is the responsibility of the participant and/or parent or guardian to ensure that contact information is current and accurate and to monitor communications related to waitlist notifications.
Pricing – The course fee listed on the Active Ajax registration system does not include applicable taxes, unless otherwise noted. The Town of Ajax reserves the right to change the pricing without notice.
Extra Fees – Some classes may require the purchase of supplies (e.g. art supplies) which will be noted in the course description. Closer to the start date of the program, registered participants will be emailed the list of supplies, or the program instructor will provide a list to participants in the first class.
Payment Details – Full payment is required at the time of registration. Cheques for drop-off or in-person registrations may not be post-dated and are made payable to the Town of Ajax. A $51.20 administrative fee will be applied to all NSF payments, including credit cards.
Transfers – Transfers will be accommodated based on availability and are subject to a $12 + HST Administrative Fee (per person, per program: Max $24.00 per family per transaction). Transfers into level-based programs such as arts will be granted before the third class, for Pilates and Tai Chi, transfers can be accommodated before the second class. Aquatics transfers can occur at any time but are subject to the transfer fee.
Refunds, Withdrawals & Cancellations
- Withdrawal requests must be made in writing 48 hours prior to the second class, or a refund will not be issued. Please note: Refunds and transfers for HIGH FIVE courses MUST be submitted in writing five business days prior to the first class.
- Refunds are calculated based on the date the Withdrawal/Transfer Request Form or email is received and subject to a $12 + HST Administrative Fee (per person, per program: Max $24.00 per family per transaction). Refunds will not be issued for classes that have passed, regardless of attendance. A refund for medical reasons will be issued with a doctor’s note or prescription receipt only and will be issued as of the date we receive the note/receipt. No administration fee will be applied in this instance.
- If Recreation and Culture cancels a registered program, you will be notified prior to the course start date. At this time, you have the option to switch to another program (transfer fee will not be charged in this case) or receive a full refund or account credit.
- Classes are subject to cancellations due to holidays, facility availability, etc. and where possible these cancellation dates are noted on the program barcode and on the program confirmation/receipt. Every attempt is made to re-schedule cancelled classes for registered programs. If a swimming class is cancelled, make up classes are not arranged but a credit is applied to the registrant’s account.
Registration Forms, Waiver Forms & Withdrawal/Transfer Request Forms – All forms required for participation in or withdrawal/transfer from a Town of Ajax Recreation Program or Camp can be found by clicking here.
Summer Aquatics Cancellations – A request for a refund can be made after the first class on the first day only. This allows us to accommodate our waiting lists.
Summer Camps Withdrawal/Transfer Requests – Withdrawal requests must be made in writing before the camp starts or a refund will not be issued. Please email camps@ajax.ca or complete the Online Withdraw/Transfer Request Form to submit your request.
First Aid Programs, Aquatic Leadership & Private, Low-Ratio & Adapted Lessons – Refund requests must be made in writing no later than 24 hours prior to the start of the first class. A refund will not be issued once the class starts. A $12 Administration Fee + HST applies (per person, per program: Max $24.00 per family per transaction).
Safe Arrival and Dismissal – We ask that parents/guardians walk children into their program when dropping them off and enter the building when picking them up. Please ensure the instructor is aware of your presence when you return to pick up your child. If your child is being picked up by someone else, please inform the instructor at the beginning of the class. Programs are for registered or drop in participants only. Spectators in the program space, are not permitted unless otherwise specified.
Participant Behaviour – We want to create an environment of trust, safety and fun! Disrespectful or aggressive behaviour is not acceptable. If inappropriate behaviour occurs, a participant’s actions may lead to their removal.
Staff Qualifications – All staff have current Standard First Aid, CPR C, Criminal Record Check, HIGH FIVE Principles of Healthy Child Development (staff working with children 6-12 years), and attend comprehensive corporate and program specific training sessions.
Photography/Video Policy – Photos and/or videos may be taken of your own family. Prior to taking any photo or video, permission must be granted by the facility manager. Please visit the Customer Service Desk or Pool Deck Supervisor regarding your request. Underwater photography is not permitted.

- Select your activity, Add to Cart and follow the registration prompts
- When finished registering, proceed to the Checkout to make payment
You must agree to the waiver and make payment to complete the transaction.
Confirmation receipt
- Immediate registration confirmation
- Online registrants must print their receipt as one will not be mailed

What to do
- Visit any community centre Customer Service Desk to register in person or to drop off your registration form
- Forms received in advance of the registration dates will be held until registration day, and will be processed in random order
- Staff will email or call if the course is full or the registration is incomplete

- Immediate registration confirmation for in person registrations
- Confirmation/receipts will be emailed/mailed for those registrations that were dropped off

Ahead of Fall 2026 registration, here’s what to expect with our updated waitlist process:
What Is a Waitlist?
If an activity is full, you can join the waitlist. This saves your place in line in case a spot becomes available.
Waitlists are time-based, meaning:
- Participants are contacted in the order they joined.
- The first person on the list gets the first available offer.
How You’ll Be Notified
When a spot opens up, you’ll receive an email invitation.
Your invitation will clearly outline:
- Which activity has an opening.
- Who the invitation is for.
- When the invitation expires.
- What steps to take next.
What You Can Do When Invited
Your email invitation will include two options:
1: Register Now
Click Register Now to secure your spot online.
2: Remove from Waiting List
If you’re no longer interested, you can remove yourself from the waitlist.
You can also take these actions anytime by logging into your account: My Account → Transaction History.
How Long You Have to Respond
Waitlist invitations are time-sensitive:
- Summer programs: 24 hours to respond.
- Fall, Winter, Spring programs: 48 hours to respond.
Your email will clearly state your deadline.
What Happens If You Don’t Respond
If you don’t register before your invitation expires:
- You will be removed from the waitlist.
- The available spot will be offered to the next person in line.
You may rejoin the waitlist if space is still available.
If You Don’t Have an Email Address
If there is no email address on your account:
- Staff will contact you by phone if a spot becomes available.
- The same response timelines will apply.
